The Medicaid administrative claiming (MAC) program reimburses districts for time spent on administrative activities associated with coordination, referral, outreach and program planning of Medicaid-covered health services. Reimbursement from MAC allows schools to provide health and social services.

Each fall, winter and spring district and ESD staff are selected to participate in a MAC survey. If you have been selected, please complete the training and the survey on your assigned day.

How is MAC revenue used by my district?
Revenue from the MAC program supports essential health and social services. Participation helps fund nurses, mental health specialists, substance abuse services, first aid/CPR classes, equipment and supplies. Without MAC funding, these services might not be available.
I don’t have activities in my day that relate to Medicaid. Should I still take the survey?
Yes. The purpose of the survey is to get a look at a “day in the life” of each district. This means employees who don't have MAC related activities are included to get a accurate picture of work that happens in the district. On average, one in every 4-5 people has claimable time. Even if you don’t have any claimable activities on the survey day, districts are reimbursed on part of your salary by being included in the employee pool.
I have activities that take fewer than 15 minutes. What do I do?
The predominant activity within a 15-minute increment is the activity that determines what code to claim during each 15-minute time period.
Why was I selected for this survey?
Your district submits an employee pool to the state and you were selected to participate in the survey.
What if I am not working on survey day?
If you’re not working but are on paid leave (e.g., family illness, sick leave, vacation), code your hours as “A.” If it’s an unpaid day, please contact the MAC Coordinator to be removed.
My schedule is busy. Can I be removed?
No, federal guidelines require us to include all selected cost pool staff, regardless of workload.
How do I account for the hours I work outside of my contracted workday?
Complete the survey for your paid hours worked as specified in your contract. Do not include time spent before or after your contract day.
